School Trips And Activities Consultant - . To provide logístical and support for events and initiatives of the athletics and activities office. Main Duties and Responsibilities: Assist in coordinating regional student activities, academic and cultural festivals, athletic tournaments, trips and other events deemed appropriate by Graded. Ensure that the students have all the documents necessary to travel such as a valid passport and a minor authorization form. Coordinate all travel needs and ensure that travel arrangements are met within the constraints of the company travel budget. Manage the entry of tax invoices, reimbursement requests and payments. Prepare and process purchase orders and requisitions for materials, supplies, and equipment. Work closely with key local partners including Sao Paulo International and Brazilian Schools, SAAC and International insurance/tour providers to ensure opportunities linking with other existing programs. To assist in dealing with parents'' communications in an effective and courteous manner. Work closely with the travel agencies in order to coordinate the student trips to ensure they have all the necessary information to book the trips. Assist with Identifying & developing training opportunities for instructors, local staff, coaches and volunteers to ensure that they have the necessary knowledge and qualifications to meet the requirements of both national and local physical activity guidelines, as well as stay current on child protection program. Assist with managing and monitoring incoming contracts and all other forms/documents for athletics and activities trips/programs. Ensure that all student trips provided are risk assessed and are covered by International Health Insurance Providers. Liaison with the Maintenance department to facilitate proper venues and set ups for practices, events such as camps, games, and festivals. Maintain databases of participants, coaches, and other groups as appropriate, ensuring that accurate registers of attendance are maintained. Undertake other administrative requirements, including the collation of weekly timesheets and statistical returns as required. Attend meetings/duties/tournaments/trips as required, which may be outside normal office hours and at weekends local and abroad. Engage with booster club parents regarding hosting of students from other international schools during homestay events. Manage the student database in PowerSchool and provide information to coaches, activity and trip leaders in a timely manner. Knowledge, Skills and Abilities: Utilize good communication skills; demonstrate ability to respond well to difficult situations and display diplomacy and a proficient level of tact when dealing with simple and routine issues. Ability to evaluate, develop and make effective recommendations related to those areas. Effective verbal and written communication skills. Ability to organize multiple tasks and conflicting time constraints. Personal Attributes: Communicate and collaborate with young adults, parents & partner organizations, strong work ethic, and ability to multitask between projects Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
