Administrative Analyst - As the ideal candidate, you would offer a high level of attention to detail with the ability to work to a hard deadline. You would be working to ensure all necessary information is completed and correct for timesheet processing and administration. Good communication skills and the ability to handle sensitive and confidential information will be required for this position. The preferred location for the position would be Rio de Janeiro, Brazil. You will focus on these responsibilities: Track and monitor time entries for hundreds of employees based in Brazil, Chile, and Argentina. Prepare timesheets for different countries' pay cycles. Monitor time entry and follow up with employees to ensure time is entered properly and following local legislation/local policies. Manually enter workshop staff time into SAP. Manually enter Contract operative and Maintenance staff time into SAP. Extract data from SAP for Field Service personnel, ensure accuracy, and verify if legal requirements have been followed. Reconcile and correct any timesheet discrepancies. Cross-reference validation/clarification with HR & payroll third-party provider. Follow up with Line Managers for on-time approval. Maintain and update timesheet summary for employee follow-up. Bank of hour accountability and follow-up. At month-end, ensure all WS time is entered and approved for month-end reporting. Report to HR and QEHS Absenteeism KPI. Report to HR the overtime report. Seek continuous improvement in the timesheet process. Focus on analytics report improvement. Support Field Services as requested in administrative extra tasks. What it takes: University degree in Business Administration or related areas. Experience and knowledge of Excel and SAP. Process mapping and RPA is an advantage. Advanced English. Spanish knowledge is a differential. Knowledge/experience with implementing software will be a plus. Skills: Excellent communication and team working skills. Working with tight deadlines deliverables. Self-driven with the ability to organize and prioritize daily work. Continuous learning ability. Openness & willingness to adapt to change.
